z4u - one problem you have is that you do not have a server. Neither XP nor 98 offers a server version.

If your printers were connected to a server, it would keep track of which documents and who printed them. As far as I know, there is no way to do it with either 98 or XP unless you happen to be looking at the printer at the time a document is sent. There is possibly software to allow XP or 98 to keep a log but I'm not aware of any. OTOH, I haven't looked for it.

As to protection for your PCs,

    - each of them will need to be running anti virus software. And the def files will need to be kept up to date.

    - other protection (firewall) will depend entirely on what router/switch you are using. Some have a good firewall built in but most of the low end ones (for SOHO - small office, home office) do not.

The way the router functions to provide internet access to a number of PCs from only a single IP address does offer some protection but not enough that I'd be comfortable with it protecting a business. You need to either have a router that does firewalling or to be running a firewall on each PC on your network.
