I keep getting a message to compress my emails to gain space on my hard drive. What is compression and should I do it? I have, and always will have, a large number of email folders (sorted in folders by month) for our business that I need to go back to for information.

I look forward to your comments and help!

When You delete an email or move it from one folder to another, a reference is removed, not the email itself. The data base in which the emails are stored doesn't reduce its size, even if You empty it completely. Compressing the email folders will "clean out the debris" left by moved or deleted emails.

I run XP SP2 with all updates and Outlook Express flash a message every now and then that it is "compressing ". I thought that this "automation" happens to everyone.

Welshjim...I read the article--so, following the rules, I guess I should compress my emails, correct?

pkl--Since you are getting the message to do so, I would say "Yes ". Otherwise OE may soon not function well.

    Jim,
thanks for the link, interesting reading!

The reason for me noticing the compacting in XP-SP2 is that I had told it to not compact in the background in XP-SP1. I didn't think of that ...... ...... when I posted my first reply/comment.

    pkl,
I agree with Jim to go ahead and compact. If all the monthly folders are subfolders in the Inbox, You should probably move them out of the Inbox. A general clean-out of unnecessary emails may help too.

If the emails are very important, copy the whole Storage Folder to a different location as backup prior to compacting. I do that on a regular basis.
