Using database software (eg Access) would be far better than a spreadsheet (eg Excell).

    Study/Google SQL (Standard Query Language).

    For your information,

In my experience many people confuse spreadsheets (eg excel) which are basically number crunchers with a database (eg access) which can manipulate data to a format you require.
