Outlook 365 Setup

    A year ago, I helped a friend set up Microsoft 365 on his newly-acquired used Windows 10 computer. He is not at all computer-literate. I am a little better, but far from skilled. It all functions OK, but somehow, he ended up with two versions of Outlook. One of them sends emails that show to the recipient an outlook.com sender’s address in the form coutlook_xxxxxxxxx@outlook.com where xxxxxx is a string of alpha-numeric characters. If the recipient replies in the normal way, the address for the reply has this email address. The result is a delivery failure message that says the mailbox is unavailable. If the other version of Outlook is used, the sender’s address is shown as the same as above, but with the addition of “on behalf of” my friend’s name and his normal ISP email address. When the recipient clicks “reply”, only the ISP email address appears in the address and the email sends normally. If my friend replies to an email he has been sent, the sender’s address in his reply is just his ISP address and everything is normal. In the setup, I have tried entering his ISP address as the return address, but it always reverts to the above.

    The situation seems to come about because Outlook appears to be using Microsoft Exchange, although I don’t know why that gives him two versions, one of which can’t be replied to. My friend is a small user and is not interested in using Exchange or any other cloud-based setup. All he wants is one version of Outlook that shows only his ISP email as the sender, without the “on behalf of” addition which looks messy. He wants all his emails, sent and received, to live on his computer, not the cloud.

    My own version of Microsoft 365 is about 5 years old and lives entirely on my PC. I don’t fully understand the current system that I have seen referred to as “cloud-based”. Is it possible to change my friend’s setup so Exchange is not involved, and everything lives on his computer without the useless sender’s address in one version and the “on behalf of” address on the other.
