winXP home - accessing files

    When I pull up a file I get a popup that says the file is in use by:
    (displays an X for a name, which is what was used in setup for a
    name)., ...and asks if I want to make a copy of the file.
    Only one user on the machine, no guest account.
    How can I eliminate the popup?

    specifically in msworks database and msword documents.
