Resolved Import Folders & Rules from POP to IMAP in Outlook 2010?

    My server (thewell.com) just upgraded to a new system today, requiring me to similarly upgrade my old POP account in Outlook 2010 to an IMAP account.

    Which I'm happy to do -- and should have done anyway, given the number of devices I use to access email.

    This meant, however, that I couldn't just change my old POP account settings in Outlook 2010 but had to create a whole new account -- an IMAP account.

    So my question is, Can I "import" the old folders where I kept certain kinds of email (e.g., from family rather than work, or from this client rather than that client) -- as well as the "rules" that put copies of those emails in those folders -- from my old POP account to my new IMAP account?

    I'd hate to have to recreate the whole megillah.

    Thanks, Tony. I'll give that a whirl.

    I have two additional questions, if that's okay -- one very specific, the other more general about Outlook and IMAP.

    First, how do I get Outlook to launch with my Inbox subfolders expanded and visible? It did so on my POP account, but for some reason my new IMAP mail account is not doing that. I'm sure it's just a settinbg somewhere but I can't find it.

    And second, how do I keep my mail secure and archived overr time -- do I "remove it from the server" every so often and download it to my local machine or what? This also applies to attachments, because my quota on the new server is only 500 MB and that will be filled in pretty short order.

    I used to "remove mail from server" in my old Outlook POP account and put it on my main office PC, which is where I kept mail secure and archived it going back probably 10 years at least. I still have those old POP mail accounts archived.

    But what do I do going forward? Do I somehow put all mail on the server onto my local machine every 3 months or so -- a kind of manual "archiving?" I just don't understand what people do about these issues with IMAP accounts.

    1. play with the view settings for the list of folders on left side.

    2. regular outlook archiving should be able to archive the messages you have downloaded.

    3. you can purge the message stored on the imap server:
    Purge IMAP items marked for deletion

    Well, that's my question -- when I look at Outlook's mail folders on my PC, am I merely looking at the server itself or are those emails actually downloaded by Outlook to my PC, where they can be archived?

    I'm sorry if my question seems stupid, but I really don't get how IMAP works.

    I use Thunderbird e-mail connecting to my ISP's IMAP server. With TB, it creates two accounts, one "Main" account that always is in sync with the IMAP server, and updates when the TB is accessed.

    The second account is a "Local" account in which I can create as many folders and subfolders as needed. This account resides on my computer and is not tied to the IMAP server. I move e-mails off the main account and store them in the Local account (archiving). When they are taken off the Main account they are also deleted from the IMAP server.

    I would think you can set up something the same with Outlook. I haven't used Outlook for some years so am just guessing here.

    Thanks, Tony, I'll look into doing that. If I can't find anything, I'll post a new thread about how to do local folders in Outlook.

    The easiest way to have Outlook archive the imap folders is to use rules to move messages to a local folder, after which Outlook can archive that local folder. The imap account should be configured to download the body of the message, not just the headers.

    Right now I have rules moving copies of certain mail to various folders -- family, individual client companies, etc.

    Are you saying that I can also have a rule to move all mail in all folders to a local folder -- or a collection of local folders matching my IMAP folders?

    Wow. One last question: would you have every piece of incoming mail moved as it comes in, or run the rule only periodically?

    I suppose it really doesn't matter.

    Well, if using imap, one has the option of downloading only the hears, or downloading the entire message (headers & body). Once the entire message is downloaded, it resides on your computer. Also, if delete a message it can be configured to delete the message that's on the server too.

    I'd download my messages, delete what I don't want, then run a rule to move the messages I want to a local folder. I would also have rules for messages I will always want to keep, such as bank notifications, business messages, etc. These I would auto move to a local folder as they arrived.
