Sent emails not received at specific address. This one's a brain teaser!

You guys and girls are going to love this one. Here we go.

My wife can not receive my emails at work. I am using the latest version of TB for email. If I compose an email to her and send it, everything shows that it is sent. There is even a copy in the sent folder. Yet, she never receives it. It does not get there, nor does it come back to me with some type of error message. Basically, it disappears into Cyberland. It gets better. If I receive an email from her and reply to it, my email goes to her without a problem. So I can reply to her emails and they get there, but if I compose one, it doesn't. I have gotten into the habit of using one of her past emails and replying to that to send her one. One more twist. If I use an email from another day, there is a 75% chance that the email will not get to her, nor come back to me. Cyberland again. If I use an email that I received the same day, it will get there every time. I told you this was weird.

Here are some things that I have tried. I have called Charter and talked to them. The office my wife works at also uses Charter. They checked several things and could not find any problems. They told me that it must be a problem at the office. That would only make sense to me if none of my emails got there, but that just isn't the case. Since my emails get there with replies, that eliminates the possibility of a blocked address on their server. I have tried setting up a new TB profile and still get the same results. I set up a profile in Outlook Express 6 and the email goes through. I don't understand that because I use the same exact settings that are in my TB.

They are using Office Outlook 2003 on Win XP systems. Now if Office Outlook has the ability to block certain email programs, none of my emails would get through. But, some do. Also, we can send emails through Hotmail and they get through. So, obviously, all email settings are correct since she can receive emails at the office with any email program except with a newly created email in TB. They set up these email accounts when they (computer repairman) installed a new server and purchased new systems with XP.

What can I check on either system? I do have access to their systems. I know nothing about Office Outlook, but I can't imagine the settings can be that different. Any suggestions on where to look for a possible problem? I will try anything. This is a little frustrating to not be able to send emails to her. Several other people in the office have the same problem and they have no confidence in their computer repairman to find and fix the problem. Since this is a business and they receive business related emails, I would think they would want it fixed. I know, find a new guy. Easy to tell them, but hard to get them to do it. I am using XP Home on my systems at home. I have no problems sending emails to anyone but that specific email destination. This is a real head scratcher for me. Thanks in advance for any suggestions!

    Mike

    Greetings MIke,
    Very confusing indeed......

    I know nothing aboute Outlook....

    To get things in order:

1 You can REPLY to an email from the spouse account ? (Y or N)
    and it gets there ?
    2. You Originate an email to the spouse FROM your TB account ? (Y or N)
and it DOES NOT get there ?

    is this correct ?

    Please let me know

    regards:captjlddavis

    Mike,
    Doesn't make alot of sense...

You said you tried a NEW profile, where did you get the Address from ?

    1. That would be my first place to look (abook).
a.) DELETE email card for spouse.
b.)ADD new address from email that you receive from spouse.
Right click "From" address -> add to addressbook

Try again to ORIGINATE and SEND from TB account.
    2. Next I would check the RAW content of: (control+U)
    a.) email that went thru.
    compare with;
b.) email that did not go thru.

Give this a try and let me know.

    thanks

    regards:captjlddavis

I completely agree. That's what's driving me crazy.

I tried a copy and paste and I have also just typed the address in. Neither way makes a difference. Oh, I've also done the right click Add to Address Book. No go there either.

Something I've learned from my little experience: It's probably being trapped in the junk mail filter. Not Outlook's, but a different product.

There are products like Sonic Wall, that basically capture and hold all e-mail and then allow certain ones in the network when compared to a white list. It's designed to keep spam down (filter random-generate e-mail names or subject lines), or prevent viruses (by blocking mails with certain types of attachments like pdfs and jpgs), or sometimes just to keep an employee focused and working on company time (by blocking all personal-type incoming e-mails from, say, hotmail or gmail).

That's just one product with a few of the options or reasons. But if I had to guess, that would be it: The spam filter has caught your mail and hasn't passed it down. She needs to talk to her admin.

Could be wrong, since I can't read e-mail headers and know what I'm looking at... But that's my best guess.

    Thanks Mike,

Looks like you tried everything I would try....and nothing worked. Bummer
    Comparing the two Raw HEADERS..
tHE ONE THAT went THRU SHOWS:
    To: "Marie (work)" <XXXXX@hoverstenlaw.com>

I assume that the "XXXXX" is a manual edit ( Five characters)

The one that DID NOT go thru:
    To: Marie <XXXXXX@hoverstenlaw.com>

"XXXXXX" shows 6 characters - Is this just a TYPO on your part ?

Otherwise,CUISTech may be right... I am not familiar with any of the type of "filter" programs he mentioned.

Sorry that I can't be more help.

My vote goes along with CUISTech - also have your wife check her email using her Charter web based link to mail. There is a very good chance that you have been unknowingly pegged as spam. This just happened to mail I was sending to my sister at her AT&T account - exact same symptoms. Turns out that my emails and several other people that she previously had no problems with were being filtered out. After turning off their spam filter, all was well again. Nice to have an ISP like this that takes some ridiculous action with no advisement whatsoever.

    ;)

    captjlddavis,

Yea, the Xs were my edit. I didn't count the Xs, I just put some in. Thanks for looking at it.

    CUISTech & Rockster2U,

My wife is gone for the weekend, so I will get into the office next week and see if they have any filters working. I'll have her check with the guy handling that also. From what I understand, there are no filters installed, but I'll double check that. I have gone through my web based email in Charter and I get the same results. One thing on the filter though. If there is one that blocks my address, would it not block any email that I send? Only newly created emails do not get to her. The emails in which I reply to hers, go through. Can a filter be that specific? Thanks for the suggestions.

    Thats what I thought....

It sure does not make sense that "replies" go thru and "originals" do not.
Please keep us posted on any developments

I believe that the problem lies with some sort of mail forwarding or other mail server issue at your wife's work. Doing a port scan of hoverstenlaw.com shows that the domain is NOT using any mail server, thus somehow hoverstenlaw.com email addresses are being forwarded to some other address or processed by a local domain controller at her office..

If this xxxxxxx@hoverstenlaw.com is a valid email address then there would have to be a mail server at hoverstenlaw.com somewhere. It's likely that there exists some other email provider/service for that domain that handles the domain email and is misconfigured or using goofy anti-spam measures.

    Port scan of that domain:

    Code:
    :~# nmap -v -PN www.hoverstenlaw.com

    Starting Nmap 4.68 ( http://nmap.org ) at 2009-03-19 23:28 EDT
Initiating Parallel DNS resolution of 1 host. at 23:28
Completed Parallel DNS resolution of 1 host. at 23:28, 0.09s elapsed
Initiating SYN Stealth Scan at 23:28
    Scanning winhostecn121.prod.mesa1.secureserver.net (208.109.14.106) [1715 ports]
Discovered open port 80/tcp on 208.109.14.106
Discovered open port 21/tcp on 208.109.14.106
Discovered open port 443/tcp on 208.109.14.106
Completed SYN Stealth Scan at 23:29, 12.80s elapsed (1715 total ports)
Host winhostecn121.prod.mesa1.secureserver.net (208.109.14.106) appears to be up ... good.
    Interesting ports on winhostecn121.prod.mesa1.secureserver.net (208.109.14.106):
    Not shown: 1712 filtered ports
    PORT STATE SERVICE
    21/tcp open ftp
    80/tcp open http
    443/tcp open https

    Read data files from: /usr/share/nmap
Nmap done: 1 IP address (1 host up) scanned in 12.952 seconds
               Raw packets sent: 3429 (150.876KB) | Rcvd: 5 (230B)
It's for certain that the domain (Web host) does NOT handle its own email and that some other service company handles email for the domain, or the company has its own internal domain controller. Else we would see open/closed ports for POP (110) and SMTP (25).

And I believe the problem is caused by whoever is handling mail for that domain. The mail handler could actually be a domain controller because we see this:

    TonyT,

I did edit that information with the Xs. If you need the real address, I can PM that to you. I just didn't want to post the real email address. If the mail is being handled by a domain controller, what can I do now? Thanks.

I meant, "if that's the actual domain ". I realize you replaced the username with X's.

If the mail is being handled by a domain controller then you will have to contact the server admin and change some settings for mail handling, spam, forwarding, distribution etc.

Post a header of a message she has sent you, one that has not been replied to yet, such as one from a while ago. The header will contain the routing info and can then be traced and analyzed.

Tony... Still learning about networking here. What's wrong when you have your mail server also set as a domain controller?

I've always thought you put the two on separate appliances (or virtualizations) just to keep it clean and delineated nicely. Is there an actual issue caused by having a mail server used as a domain controller?

    Probably nothing wrong about it.

The reason I brought it up was because the domain hoverstenlaw.com does NOT have a mail server at all. That domain, hoverstenlaw.com is hosted at GoDaddy's servers. And may or may not be using GoDaddy's email servers.

Also, the headers posted above show this line:
    <254ED525DB72F1438CD12AF7805C2EAE0CDA5F@srv1.domain.local
which indicates that there may be a domain contrtoller handling the email.

If we could see a header from an original message that the wife sent to him, we could then see the actual route used and determine if a local in office domain controller is handling the mail or if GoDaddy is handling the mail.

If GoDaddy handles the mail then one could just login to the domain control panel at Godaddy & disable anti-spam, & I bet the problems will disappear. (godaddy is a cheap, poor quality hosting company with some questionable billing practices)

    CUISTech,

Perhaps it would be more appropriate to ask your Networking question on the Networking Forum. I think this is going to be a long thread, so let's don't confuse the main Thunderbird issue.

    Thanks! :)

I can confirm that the email server is not correctly configured per standards and may be using some weire rules. I confirmed this by sending an email to test-mail@hoverstenlaw.com. This is obviously a mail account that does not exists and thus should have been bounced back to me immediately. I received no notice that the mail did not go through.

It's also possible that the email at Godaddy is used as a "catch all" account and all mail sent to the domain gets resent to a server at the company office & distributed there by a server. Unlikely though. If this firm could afford to have its own internal mail server then they would not need to use Godaddy for its Web site!

    Rockster2U & TonyT,

Sorry for any confusion on my part regarding my post back to you. I was not intending to disagree with you, I am just trying to wrap my head around this problem and how some of my emails go through and others don't. That being said, I'll try to answer everyone's questions. First a little extra info. Since Ramona uses TB also, she was kind enough to send an email for me to see if it would go through. No problems, it went through just fine. Also, I sent an email to the address listed on the home page of their site. Why I didn't think of that before is beyond me. The email went through without a problem. So, it seems that the general address is fine, but specific addresses are hit and miss. I'm not sure if that helps any, but I figured I better throw it in.

Yes, that is the actual domain. I just edited the first part.

Here is one from the 19th of March. I had to copy and paste each line. That's the oldest one I have right now.
