Users receiving appointment acceptances for other users

    I'm not sure whether this is a problem with Exchange or Outlook (although I am guessing Outlook as this has only started happening since the old computers were replaced with new computers running XP Pro with Outlook 2003).

    The problem we are experiencing is that when a certain user (UserA) accepts an appointment 2 other users (UserB and UserC) receive the acceptance aswell, even though they have nothing to do with the appointment. Also, if UserB accepts an appointment UserA will receive an acceptance, even if they had nothing to do with the appointment.

    I have been through all 3 users properties thorougly on the server and can not see anything that could be doing this.

    The server is running Windows 2003 SBS with Exchange 2003.
    The clients are running Windows XP Pro SP2 with Outlook 2003.


    Any help will be greatly appreciated. If you need any more information feel free to ask.

    Edit: Not that I think this will make a difference, but it is XP Pro 2002 SP2 on the clients (Although I am not sure what diffence there is between XP Pro and XP Pro 2002)

    Just a little update.

    UserA just sent an appointment to another user, UserD, who then accepted the appointment. Both UserB and UserC then recieved confirmations that the appointment had been accepted.

    I am at a complete loss as to what is happening. Anybody got any suggestions?

    This has gotta be frustrating for you. I see the problem mentioned when I go searching but no answers.

    Might be worth a support call to Microsoft.

    I would phone them but from what I can see on the website (http://support.microsoft.com/oas/default.aspx?&gprid=1773&) it will cost £200+, which at the minute I am not willing to pay. If I am looking in the wrong place for support on their site, could you provide me with another phone number that I could use. Alternativly, is their an email address I could use so that I can just email them a copy of what I have said so far on here?

    Don't you get at least one incident for free? It has to be worth phoning to find out.

    Another place to look is in the header of the acknowlegement e-mail. If you open an acknowledgement and go to Options in the view menu, you can see the Internet Header. I haven't used Exchange for a while, and seem to recall that there isn't a lot of header information (if any), but it is worth a look there as there may be some useful information (like the raw address the acknowledgement was sent to).

    Do you have a single user with any assigned rights to make modifcations to the affected user accounts?

    In other words, do you have a secretary that has the ability to update the calendars/schedules in the user accounts that are affected?

    UserB and UserC are both editors of UserA's calander, however another user also has editor permissions of this calander but has not reported getting UserA's appointments.. UserA is an editor for UserB's calander.

    I never thought of looking at the user permissions before, but after looking at these it looks like this could have something to do with it, although what I am not sure.

    Problem solved

    Out of pure chance I found out what was causing the problem. I accepted an appointment from somebody and somebody else received an invite. I realised that the person that had received the invite was infact one of my delegates.

    When I had a look at the permissions for that delegate I found a tick box labelled "Delegates receives copies of meeting-related messages sent to me ". After unticking this the other person stopped receiving the invites.

    Now all I need is to find a way of somehow disabling this option for everyone on the network.


    Hope this helps anyone else having a similar problem.
